A large property management company with properties around the world, maintains investor and financial relationships to facilitate complex and challenging development projects. Their portfolio includes over 1,000 properties including skyscrapers, corporate headquarters, mixed-use centers, industrial parks, medical facilities, and master-planned resort and residential communities. As the organization prepared to move into the highly regulated Real Estate Investment Trust (REIT) market, the need for accurate, reliable data for tracking, compliance and reporting purposes was a priority.
Much of its REIT-related operation relies on third-party applications and data, including transfer agent transactions and reporting. The company’s creation of the new division was preceded by careful IT analysis. First, the business systems architect knew that many applications and data sources would be external and that he would need to deliver powerful, agile integration between external and internal data sources and hosted applications. He described the challenge, "A large portion of the front-end of the business is outsourced to a transfer agent to process checks, set up investor information, produce dividend checks and other duties. The transfer agent is the keeper of a lot of the important data that the REIT needs for reporting and tracking. That data must be integrated with on-premises applications and with Salesforce."
Developers needed highly flexible, reliable data and application integration that they could deploy rapidly, and they needed it to be cost-effective. They assessed integration options and found most offered too narrow a range of connectivity or were too costly. "We have about 60-80 Salesforce users and a network of financial advisors we do business with, and about 65,000 of them are in the database. We have to have a premium integration tool to meet all these data needs. Plus, it has to be cost friendly–I have budget considerations," the business systems architect explained.

I just transferred all the data from an old Lotus Notes system by moving it into flat text files, massaging it through staging tables in SQL Server, and then loading it to Salesforce. I use Pervasive regularly to maintain information in Salesforce, keep information throughout systems current, and remove out-of-date information to save on storage fees. These are just a few uses. We’re big fans to say the least. Our user community knows we can get it done and in a quick manner. They’re confident that we have the tools to do the projects they ask for."
Robust Reporting Database, Real-time Data Mart Being Designed
The company is now designing its first robust reporting database, a real-time data mart that will provide one version of the truth for company management. Pervasive Data Integrator will do all the heavy lifting when it comes to integrating data, and its XML logic will be used for reporting. The company will use a federated model, tapping operational systems without impacting performance.
It makes sense, according to the business systems architect, who adds that "most data in house is a copy of information maintained and hosted on other systems. We’ve done the work to get the data in house, and the reporting data mart can just point back to those same in-house sources."
Accounting, compliance tracking, expense reporting, and marketing data such as fulfillment house costs, inventory for promotional brochures and shipped orders are included in the reporting database.
